Learn more about the event here.

Roles & Tasks

Visitor Comfort Ambassador (1 person or a team of 2 people)
Purpose: To make the visiting painters feel welcome and to put Cuttyhunk’s best foot forward in the process.

The morning of the event, prior to Ferry arrival:

  • Ensure that the bathrooms at the Fish Dock are open, clean, and well-stocked with paper products. George Isabel is responsible for overseeing the bathrooms at the Fish Dock; please see him for any issues or needs for those facilities.
  • Work with CHS Board President to ensure that the Cuttyhunk Historical Society bathroom is open and available and ready to be in use.
  • Be sure the Town Hall front door is unlocked and that the bathroom is clean and well-stocked with paper products.
  • Post the signs at the intersections to help painters find their way around the Island. (School principal has handmade “fish” signs on posts to use.)

During the event:

  • Drive around the Island, bringing water & insect repellent to painters, as needed.

Festival Photographer (1 person)
Purpose: To visually document the event throughout the day.

  • Photograph the Festival from the beginning of the day through to everyone leaving at the end of the event.
  • Document the various aspects of the event via informal and more formal images (artists’ arriving on the Ferry, checking in, painting around the Island, the “_ARTY!, awards ceremony, artists departing, etc.)

Island Greeters (2 or 3 people)
Purpose:  To provide a warm welcome to the artists as they come off the Ferry, to give them their box lunch, and to help them get oriented.

  • Greet everyone as they come off the Ferry dock, welcoming them to the event and to Cuttyhunk.
  • Check the artists’ names against the box lunch list and give them the lunch option they ordered.
  • Direct the artists to the right area if they want a ride to see the Island (if they are first timers or need a refresher) and/or to be taken to a spot where they wish to paint.

Island Ambassadors (20+ people)
Purpose: To greet the arriving artists and provide them a ride to see the Island (if it is their first time) and/or to drive them to their desired spot for painting.

  • Attend the very brief Island Ambassador orientation at 9:30 am the day of the event.
  • Provide a warm Cuttyhunk welcome to the Plein Air painters!
  • Drive as many artists as you can safely ferry to see the Island (if they are new to the event & Cuttyhunk) and to the spot where they want to paint.
  • Exchange phone numbers (for texting, as needed) to facilitate pick up
  • Collect the artists from their painting location and take them to the Scuttlebutt Grille for the 2:45 pm artwork submission deadline and “_ARTY!” and then take them to the Ferry dock for the 4pm departure.

“_ARTY!” Ambassador (4 or 5 people; the GCC will staff this in 2023)
Purpose: To represent the Cultural Council and to help ensure that the painters and others at the afternoon reception and gallery/jurying event feel welcome and have a good experience.  We typically have about 150 folks in attendance at this event; the artists plus Islanders and visitors.

Before the event (a week or more beforehand):

  • Coordinate some folks to prepare and bring an hors d’oeuvre to share.

During the event:

  • If there is a musician performing, help them get set up, find the outlet to plug in their amplifier, etc.  They should be playing as the artists are gathering, the work is being hung, and people are starting to gather.
  • Set up and test the microphone for use during the awards ceremony.
  • Help set up the food and drink tables.
  • Pass the basket for donations, encouraging guests to support the event

Jurors’ Assistants (4 people; 2 to sit at table & receive the work, 2 others to run the paintings inside to be hung & help w/hanging as needed)
Purpose: To work with a small group to receive the submitted paintings and hang them for judging, with care and efficiency.

  • Receive paintings from the artists, making sure their labels are completed and all the information on the Sales Spreadsheet is completed accurately
  • Help hang the paintings.

Arts Sales  (3 people needed)
Purpose:  To facilitate the sales of artwork at the end of the day “_ARTY!”

Please refer to the Art Sales Procedure for details. These volunteers are needed to sit at the sales table during the end of the day “_ARTY!” matching the interested buyers with the artists and collecting payment from the buyers to give to the artists.
